Project Coordinator

Are you a detail-oriented, proactive professional who thrives in a collaborative and client-focused environment? We are seeking a highly organized and driven Project Coordinator to play a critical role in ensuring the success of our clients’ projects.

In this role, you’ll serve as the backbone of project execution—managing documentation, coordinating communication across departments, and supporting flawless delivery. You’ll help foster long-term client relationships, ensure accuracy in project tracking systems, and provide essential support to the Project Planner and Professional Services team.

Responsibilities

Core Responsibilities – Project Support & Execution

  • Assist the Project Planner with ensuring smooth and timely execution of projects.
  • Oversee daily tasks for client projects and spare pool, including scheduling client calls, RMA submissions, project tracking, and follow-ups.
  • Prepare, review, and edit client-facing reports and documentation.
  • Coordinate with cross-functional teams to ensure accurate project details are communicated and acted upon.
  • Establish and maintain positive relationships with clients, vendors, and third-party partners.
  • Ensure all project-related data is accurately entered and maintained in Salesforce.
  • Attend client meetings, capturing detailed notes and documenting project requirements.
  • Support PS and Wi-Fi Onsite project activities and serve as a key point of contact for ongoing client needs.
  • Monitor project progress and proactively flag risks, challenges, or delays.
  • Provide backup support for the Project Planner when needed.
  • Perform additional related duties to ensure successful project outcomes.

Core Responsibilities – Collaboration & Process Improvement

  • Act as a bridge between internal teams to ensure alignment on project goals and timelines.
  • Contribute to process improvements that drive efficiency, consistency, and higher-quality execution.
  • Promote accountability and follow-through across all open projects.
  • Maintain a client-first approach while balancing multiple priorities.
  • Support continuous improvement by suggesting and implementing enhancements to project workflows and documentation practices.

Required Experience

Qualifications & Requirements

  • 2+ years of experience in project coordination, project management support, or a related role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills with a professional, polished tone.
  • Strong attention to detail, particularly for documentation and data entry.
  • Ability to work independently and collaboratively within a team environment.
  • Demonstrated customer service skills and client relationship management experience.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Salesforce experience is strongly preferred.
  • Ability to meet deadlines while adapting to changing priorities.
  • A self-starter with integrity, accountability, and a problem-solving mindset.
